On Tuesday, 10/6/1441 A.H., UQU President Prof. Abdulrahman bin Hamad Al-Dawood sponsored a workshop entitled "Spreading Documentary Awareness in Government Agencies", organized by the UQU Vice Presidency for Planning, Development and Quality, represented by the Documents and Archives Center, and presented by the legal advisor at the National Center for Documents and Archives at the Royal Court In the presence of the UQU Vice President for Planning, Development and Quality, Prof. Khalid Bani Al-Harbi, and a number of college deans and university employees, in Hall B in the main lobby of the University City for men and the theater of the College of Economics and Administration for women, the workshop was held by the UQU Vice Presidency for Planning, Development and Quality.

 

During the workshop, Al-Haddab talked about the establishment of the documents and archives system, the types of documents, whether financial, administrative, or specialized documents, their degrees of confidentiality, the archival program, and the importance of integrating documents and administrative communications in the agency, in addition to presenting the mechanism of collecting documents and archives, indexing, classifying, coding, preserving, maintaining, and organizing their circulation in accordance with the Documents and Archives Law and its executive regulations and classification and coding plans, preparing the administrative organization and administrative and technical procedures necessary for the work of the center and implementing them after their approval, as well as providing data and information on documents and archives to beneficiaries.

 

Al-Haddab also presented a comprehensive presentation of the tasks and duties of government agencies in their dealings with the center in order to improve the reality of the procedures for dealing with documents, which is represented in the establishment of document committees and the mechanism of work of these committees, then the door was opened to the attendees from the university staff to answer their inquiries related to the topic of the workshop and answer all questions raised in this field.

 

In his speech during the workshop, the Director of the Documentation and Archives Center, Mr. Abdulrahman bin Ahmed Al-Qa'ada, explained that the establishment of document and archives centers in government agencies is a confirmation of the keenness of the wise leadership - may God protect them - to invest optimally in the field of preserving and archiving documents and archives, because documentation is an essential component in the foundations on which the Kingdom's Vision 2030 was built, in which archives play a pivotal role by making information available and organizing its exchange, investment and benefit from it to achieve the ambitious vision towards a knowledge society and information sharing. 

He added that the Documents and Archives Center plays an important role in the decision-making process, enhancing the principle of information sharing and transparency between government agencies in serving the knowledge building of societies, as well as investing the huge amount of information and placing it in the appropriate place to save it so as to facilitate quick access to specific information in the least time and effort, in implementation of the Cabinet decision approving the organizational arrangements for documents and archives centers in government agencies, as the university initiated the establishment of the Documents and Archives Center at the university after the university president approved the formation of the permanent committee of the Documents and Archives Center.

 

He pointed out that the work of the pivotal center focuses on the need to preserve documents and take care of them from loss or damage, and its goal is to preserve all documents and archives of the university and take care to apply the systems in the correct form in all units and facilities of the university, noting that electronic archiving applications are of great importance to all units of the university, and one of its most important tasks is to collect, organize and save the university's financial, administrative and academic documents, which contributes in preserving the university's history and documenting its work, and be a center to provide decision-makers at the university with appropriate information at the right time.

 

After that, the Chairman of the Permanent Committee of the Documents and Publications Center, Dr. Abdullah Al-Juhani, gave a brief presentation about the center, which aims to preserve time, ease of search and access to information, in a healthy environment through the cleanliness of the place and the absence of dust, ensuring the preservation of documents for future generations, in addition to presenting the tasks of the center, which are: Drawing the necessary data for the preservation, classification and destruction of documents in the university in accordance with regulations and regulations, as well as collecting and inventorying the university's documents, organizing and preserving them, and working to prevent the production of documents that are not needed, in order to save time, effort and financial and administrative costs, in addition to spreading documentary awareness among workers in the center in particular and the body in general, as well as presenting the objectives of the center, the organizational structure of the Documents and Archives Center, and the work plan through inventory, classification and preservation.
